Deposits & RSVPs

When you submit a pre-season RSVP with a $1,000 deposit, your spot is guaranteed in your selected event The remaining fees are due by the City Deadline Date (42 days prior to event). This deposit is non-refundable, non-transferable, and must be paid online via credit card or ACH payment. Studio Credits are not accepted as a form of deposit payment. Deposit payments by mail ARE NO LONGER ACCEPTED as the events often fill while payments are in route. 

We also accept RSVPs without deposits for those who wish to let us know your plans to attend. However, unpaid RSVPs do not guarantee or reserve space in an event. We will do our best to notify you when the event is nearing capacity, but it is possible that a large number of pre-season deposits may submit in a short period of time causing the event to sell out before we are able to send out notifications. Since most of our events do sell out, we recommend submitting your deposit as soon as your plans to attend are confirmed. 

Fee & Entry Policies

ENTRIES
Entry information is always due by the event registration deadline date, 42 days (6 weeks) prior to event start date. Exact deadline dates for each regional event may be found on the 2026 Tour Page or in the studio online account. 

Entry into a VIP Dance event requires agreement and compliance with all VIP Dance rules & policies.  

FEES
Fees are per dancer per routine.

Fees are non-refundable. Studio credits may be issued for scratched routines or removed dancers on any deletions made prior to the event date. Studio credits are not provided for any scratches made on the day(s) of the event.

All credits are valid through August 1 in the following year. Credits are non-transferrable. Any 2020 COVID credits were valid through the 2022 season and are now expired. 

DISCOUNTS
Discounted offers above not valid with any other discounts.

Discounts appear on invoices as a credit percentage of the total balance. Discounts are not displayed on routine/entry line items. Find your discount totals under the CREDITS/PAYMENTS section of the invoice. 


Media

As the dance competition industry evolves, we are always looking for ways to provide the best experience while staying competitive with industry standards. One of the most significant shifts in recent years has been the move toward mandatory media fees. While we have held off on making this change for as long as possible, it has now become necessary.

Before COVID, we sold media on-site for $44 per routine ($22 for photos, $22 for video), which covered our costs while keeping our business sustainable. Post-COVID, we offered free media access for a couple of years as an added bonus while things returned “back to normal”. More recently, we’ve provided an optional $45 media pass, allowing families to access all their dancer’s photos and videos from the event.

However, as more competitions have adopted mandatory media fees, we’ve seen a clear shift: Most parents now obtain media only from events where they are already paying a required fee, resulting in fewer optional media purchases. This ripple effect has made it necessary for us to adjust in order to keep up with industry standards and continue offering the high-quality media services you expect.

To remain competitive and sustainable, we are implementing a $35 mandatory media fee per dancer. This change ensures we can maintain professional-grade media coverage while covering the rising costs of hosting, streaming, software development, equipment, and the skilled staff required to produce these services. The media pass includes routine photos and videos of each connected dancer in parent and dancer online accounts. Teacher and Studio accounts will access all routines. In addition, online interactive programs are accessible by all as well as live streaming when available. Media fees are once per season. When attending a second regional in the same season (same routine / dancers), the media fee is free for that event. 

Extended Times

Extended PERFORMANCE time may be purchased at the following rates:
Solos & Duo/Trios - $25/routine for each additional minute for up to four additional minutes
Groups - $5/dancer for each additional minute for up to ten additional minutes

Extended PROP set-up/removal time may be purchased at the following rates:
Groups and Productions may purchase an additional 2:00 minutes total for set-up/removal of props for a flat fee of $30.00.
*Solos and Duo/Trios are not permitted extended prop set-up/removal time.
Small Groups are expected to set-up props in 30 seconds and remove props in 30 seconds (1:00 minute cumulative).
Large Groups and Super Groups are expected to set-up props in 1:30 minutes and remove props in 1:30 minutes (3:00 minutes cumulative).
Productions are expected to set-up props in 2:30 minutes and remove props in 2:30 minutes (5:00 minutes cumulative).

Payments

Payments are not accepted at the event. All fees must be paid prior to arrival at the event.
All RSVP deposits must be made online by Credit Card or ACH.

Credit Card:
Payments are accepted online via credit card and are subject to a 4.2% convenience fee. To avoid this fee, please submit payment online via ACH.
When within 10 days of the event, payment MUST be made online by Credit Card prior to the event date. 

ACH:
Payments are accepted online via ACH payment eleven or more days prior to the event.
ACH payments are not accepted within 10 days of the event as they require additional time to clear the bank.

Cashier's Check / Bank Certified Check:

Must be postmarked with tracking info emailed to vip@vipdance.com no later than 42 days prior to the event in order to receive Early Bird discount.
Do not send RSVP Deposit payments by mail. Deposits must be submitted online by ACH or Credit Card.

Certified Check payments may be mailed to:
VIP DANCE, 18 Cocos, Kenner, LA 70065
  - include your Studio ID on the check / found in the "Studio Profile" section on your online account.
  - obtain tracking information and email it to vip@vipdance.com no later than 42 days prior to event.
  - do NOT require a signature upon delivery as this may delay our receipt of your payment or cause the payment to be returned to you. Our shipping address is within a secured location and the payment will be applied to your account as soon as we receive it.  

Parent Group / Parent Dancers

Any group routine with 8 or more dancers consisting of parents only may enter the Parent Dance category. Routines in this category compete only within the category for Parent High Scores and are not associated with a competitive level or age division. 

Parent Dancers may be  added to routines with competitive dancers in any Category (except for Solo).
Parent Dancers don't affect the Level calculations of a routine they are added to UNLESS it's only Parents, in which case the Level would be Parent.
Parents don't affect the Age Division calculations of a routine they are added to UNLESS it's only Parents, in which case the Age Division would be Parent.
